How we work

Here is exactly what happens after you say yes.

No black box. This page walks through who does what, what you will see, what your patients will experience, and how we get paid.

The starting point

We work behind your process, on accounts you choose.

We only receive accounts your team or billing company has finished with. You decide what "finished" means. Nothing changes for your staff, and no existing vendor is replaced.

By age

For example, every patient balance with no activity for 90 days.

By size

Balances above or below an amount your team can't justify chasing.

By payer or denial

One insurer's denials, or one denial reason your team keeps losing.

By list

A file you send us: a legacy system, a write-off batch, a new location.

The first two weeks

Five steps, and what each one asks of your team.

  1. Account Analysis

We review your open inventory and send back a written recovery estimate: how much we expect to recover, from which accounts, over what period. If the numbers don't justify working together, we say so here.

Your teamSend an aging report or inventory extract.TimeAbout an hour.
  2. Access

You grant read-only access to your practice management or EMR system. Our in-house team builds every data extract we need. We don't ask your IT staff to write reports for us.

Your teamApprove access.TimeOne to two hours.
  3. Discovery

We read your billing policies, payer agreements, financial assistance policy, and current workflows, and we ask how you want your patients spoken to. This is where we learn what makes your organization different.

Your teamOne working session with your revenue cycle lead.TimeAbout two hours.
  4. Strategize

We bring back a written approach: which accounts go where, the wording patients will see, the contact schedule, the payment plan rules, and how complaints reach you. Nothing starts until you approve it.

Your teamReview and sign off.TimeOne hour.
  5. Go Live

We typically launch within two weeks of receiving system access. First recoveries usually land within 48 hours. Your first remit arrives after the first full month, with account-level detail.

Your teamNothing. Your portal login arrives on day one.TimeNone.
Who does what

We run the program. Our Trusted Partners make the contact.

Mantl Health decides how each account is worked: we check it for missed coverage before anyone is contacted, we write the scripts and portal wording, approve the letters, and set the contact schedule and the standards. The contact itself is made by our network of Trusted Partners, working under that wording and those standards, and every letter, email, call, and portal page tells the patient who is reaching out and which provider the bill is for.

We watch every Trusted Partner's results and every patient concern, and we manage their performance account by account. When one falls short, we move the accounts. Whether one Trusted Partner or several works your accounts, you won't feel the difference: you have one relationship, one report, and one phone number.

You also receive a monthly remit with the same detail in a spreadsheet, and a named account lead who answers the phone when you have questions.

Every month

Thirty minutes with your team, with an agenda.

Your account lead brings the month's numbers, what patients told us, what payers did, and what your front end could change. You bring your questions. When one needs an analysis, we run it and come back with a number.

The remit arrives before the meeting, as a page in your portal and as a spreadsheet, so the time goes to the conversation rather than the reading.

Monthly review · 30 minutes
  1. Recoveries this month, by service and payer
  2. Claims rebilled and appeals filed, and what came back
  3. Patient feedback and concerns, with what we did
  4. Denial causes we saw, and what your front end can fix
  5. Opportunities we found in your data
  6. Your questions

What your patients see

A clear bill, and a person to ask.

Every letter, email, call, and account page tells the patient who is contacting them and which provider the bill is for. It shows what the visit cost, what their plan took off, what it paid, what's left, and why. It offers ways to pay and a way to say "I think this is wrong".

Try the patient view
What a patient can do
  1. See the bill broken down in plain words
  2. Pay in full, or choose a monthly plan
  3. Ask a question and get an answer from a person
  4. Say the bill looks wrong, which pauses contact while we check
  5. See who is handling the account, and how to reach them
About the software

What our software does, and what our people do. With examples.

What our software does

  • Sorts every account by what is most likely to resolve itA $90 copay gets a text and a pay link. A $3,900 denial goes to a person.
  • Flags coverage that was never billedA self-pay account whose patient had active coverage on the date of service.
  • Spots denials that were resubmitted without fixing the causeThe same claim, the same missing authorization, denied twice.
  • Learns each payer's patterns for each clientOne insurer pays your imaging claims on appeal most of the time. Another almost never does.
  • Gives you every account's status, any timeThe client portal on this page.

What our people do

  • Explain the bill and answer your patients' questions"That's your deductible. You've met most of it. Here is what's left."
  • Rebill claims and file appealsWith the records attached, to the right address or portal, inside the deadline.
  • Sit down with your team every monthThirty minutes, with an agenda, whether you are large or small.
  • Run the analysis when you ask a question"Why did our denial rate with this payer jump in March?"
  • Tell you where your billing process broke and how to fix itRanked by dollars, with the registration or coding change that would have prevented each.
How we get paid

A percentage of what we recover. Nothing else.

No setup fee. No monthly minimum. No charge for the analysis, the onboarding, the portals, or the monthly review. If we recover nothing, you owe nothing.

The percentage depends on what we are working: a 60-day-old balance costs less to resolve than a two-year-old denial. You will see the rate for each category in writing before you sign, and on every remit afterwards.

What a remit shows
  1. Each account, the amount recovered, and the date
  2. Whether it came from the patient or the insurer
  3. Our fee on that account, and the rate applied
  4. The net amount paid to you
  5. Accounts closed and returned, with the reason
Security and compliance

Careful with your data, and with your name.

HIPAA and HITECH

We sign a business associate agreement with every client, and hold every Trusted Partner to the same terms in writing.

Read-only access

We read from your systems. We do not write to them, and we take only the fields the work requires.

Trusted Partner oversight

Every Trusted Partner is vetted before it receives an account, licensed where it operates, and audited against our standards.

Patient contact rules

Contact follows federal and state collection law and your own policies, whichever is stricter.

Patient concern handling

Every patient concern is logged, reviewed by a person at Mantl Health, and reported to you with what was done.

No patient data on this site

This website holds no patient information. The client portal and the patient account pages run on separate applications, with no advertising or tracking tags.

Questions people ask us

Before the first call.

Will this upset our current billing company?

It shouldn't. We only work accounts they have finished with, and what we learn about denial causes goes back to you so their first-pass work gets easier.

Are we too small? Or too big?

We work with organizations of every size, from a single-specialty practice to a multi-hospital system. Tell us your rough monthly volume and we will tell you what to expect.

How long is the commitment?

Accounts are placed for a set cycle, typically six months, after which unresolved accounts return to you. You can stop new placements at any time.

Which systems do you work with?

The major EMR and practice management systems. If yours can produce a report, we can work from it, and we build the extract ourselves.

What happens when a patient complains?

A person at Mantl Health reviews it, contact pauses while we do, and you hear about it in writing along with what we did. Complaints are an agenda item at every monthly review.

Does your AI do everything automatically?

No. Somebody still has to talk to the patient and somebody still has to file the appeal. We make sure those somebodies are good at it.

What does it cost?

A percentage of what we recover, agreed in writing before we start. No setup fee and no minimum. How contingency pricing works →
